Administrative Assistant

Site/Program: Crotona

Position Summary

HELP USA is seeking an Administrative Assistant to provide support services for the Director of Social Services and the social services staff at one of our shelter locations. This role is critical for ensuring that all information regarding our clients is accurately collected, maintained, and reported. Responsibilities will include:

  • Communicating regularly with the NYC Department of Homeless Services (DHS) regarding client arrivals, discharges, transfers, ineligibilities, etc. and reviewing and entering client information into the DHS CARES system on a timely basis, ensuring completeness and accuracy.

  • Preparing reports, presentations, and correspondence as needed using Microsoft Office applications.

  • Collecting information for and assisting in the execution of special and on-going projects.

  • Maintaining files in an organized, easy to follow manner


  • High School Diploma or equivalent required; Associates Degree preferred.

  • Minimum two years administrative experience and demonstrated ability in admin skills.

  • Strong MS Word and Excel skills, including typing speed of 55+ words per minute.

  • Strong organizational, interpersonal and communication skills.

  • Ability to handle a large volume of work with shifting priorities.

  • Bilingual (English/Spanish) a plus.
